CONTRACT LENGTH: 26 weeks

End Date: Approved to the Province of Ontario’s current fiscal year end March 31, 2019.  Desired additional weeks, ending August 23, 2019, is pending the approval of Ottawa Festivals’ fiscal year (2019-2020) JCP application with the Province.

SUMMARY:  Reporting to and works directly with Festival Coordinator, coordinates the volunteer recruitment, screening, scheduling and management, working closely with SSIF staff to identify and fulfill the volunteer needs.  Responding to day-to-day inquiries pertaining to the 2019 events

Job Responsibilities:

  • Working closely with the festival team to review and assess volunteer requirements;
  • Recruit past volunteers, develop incentive programs, develop/coordinate new recruiting strategies to increase volunteer numbers, assist with orientation/training, maintaining communication with volunteers throughout;
  • Draft volunteer working schedules; assist in the coordination and manage volunteer staff during the Festival
  • Provide volunteers with a letter/note of thanks, draft a volunteer survey for feedback purposes – collect and compile results with a summary of recommendations etc.;
  • Build partnerships with high schools, colleges and organizations who are potential volunteer partners;
  • Provide progress updates, bring forth recommendations/concerns, and complete a final report

Information Officer:

  • Respond to telephone, in person, electronic enquiries and/or forward to the appropriate festival staff, update and utilize distribution lists;
  • Sort incoming/outgoing mail, faxes and courier deliveries for distribution, file according to the established procedures;
  • Assist with the dissemination of Festival materials to the general public, schools, organizations, etc.; distribution of promotional materials with festival staff at key marketing events (some evenings/weekends req.);
  • Assist the Coordinator with the creation, distribution and collection of feedback surveys
  • Creating report templates and submitting final reports with statistics and survey results

 Who are you?

  • You have a High School Diploma or higher level of education, are computer literate- Google Documents, Microsoft Word, Excel
  • You have the ability to work under pressure and on various projects – independently and within a team
  • You are detail oriented, strong organizational skills – office/event experience are assets
  • You have excellent phone, customer service, strong communication and interpersonal skills
  • You are professional and punctual
  • If you have a valid driver’s license and French language skills, these are considered assets, but not required
  • You are eligible to participate in Ontario’s Job Creation Partnership (JCP) program by meeting the following criteria:
    • You are a resident, living in Ontario
    • You are not a full time student (part time student is allowable)
    • You are not leaving employment to participate; you can continue with part time employment up to 20 hours
    • You also must meet at least one of the following criteria:
      • Previously employed in Canada in any five of the last ten years and earned income in excess of $2000,

OR

  • Previously established an Employment Insurance benefit claim (regular benefits within the last three years or maternity/parental within the last five years)

 What is offered?

Program participants are offered positions of 30 hours per week (4 days per week) and are provided a payment of $423 per week ($14.10 per hour) by the Province of Ontario.  In addition, this position offers Lynda.com office related skills courses and complimentary tickets and passes to the International Animation Film Festival.
